– Sales Person Required Based on NPA and NXX
We
have added the ability to Require the Sales Person in the Phone Number
Information screen based on NPA and NXX in addition to required by Company
Number.
Within
User Edit ‘SALESPERSONEACHSVO’ you can enter Company Numbers or NPA and NXX
that require a Sales Person to be added in Service Order Entry on all Accounts
that are within the Company Numbers or NPA and NXX entered. All Service Orders with the Company Numbers
entered into Field 3 will require Sales Person Code 1 and 2 to be entered. All Service Orders with the NPA and NXX
entered in Fields 4 through 8 will require Sales Person Code 1 and 2. * You can enter Company Numbers and NPANXX or you can enter Only
Company Number or Only NPANXX.

have added ‘Task Manager’ to the Riata Programs Menu under the ‘Other’ options
on the right hand side.

– Inventory History Added to Riata Programs Menu
We have added ‘Inventory
History’ to the Riata Programs Menu.
This feature gives you the ability to search the Inventory History File
or the Phone File by Inventory Number, Serial Number and/or Electronic Serial
Number. Once you select Inventory
History from the Riata Programs Menu, the following Screen will be displayed;

– Click on File, the search the Inventory Master or Inventory Detail
– Enter the Inventory Number, Serial Number or Electronic Serial Number and Press Find History for details on that Inventory Number
– Select ‘Search for ESN in Phone File’ to locate a specific phone regardless of when it was sold. This is useful if someone turns in a found phone.
The following Screen will be displayed to enter your Search criteria.

– Ability to Clear the ‘Pay Later File’
Within
the New 2007 Service Order, when entering a Cash Receipt there is an option to
‘Pay Later’. When this option is used the
Cash Receipts are stored in a ‘Pay Later’ File.
You now have the ability to Review and/or Remove these Cash Receipts
from this file. Contact your Security
Personnel to get Authorization to this Feature.

Use this to Clean-up the ‘Pay Later’ file Manually.

– Inventory / Charge Tax User Edit
A
new User Edit called ‘INVENTORY-SALE
STATE-TAX-ALWAYS’ will leave the ‘Charge Tax’ checked even if the
customer has ‘No’ selected for the ‘Charge State Tax’ in the Phone Number
Information screen. This is so you can
Not Charge State Tax on Recurring Charges, but still Charge State Tax on
Inventory Items.
Setup User Edit
Field 1 = INVENTORY-SALE
Field 2 = STATE-TAX-ALWAYS
Field 3 through 8 = Leave Blank
If this User Edit is setup,
and the account has a ‘NO’ selected on the Phone Number Information screen,
Taxes Tab;


- When adding Inventory, the
‘Charge Tax’ will still be checked.

– Edit Switch Commands
We
have a new option on the Riata Program Menu called ‘Switch19 Commands’. This option will allow Edits to Switch
Commands. Contact your Security Personnel to get Authorization to this Feature.

To ‘Delete’, highlight the command you want to
Delete and click on the Delete button.
- To ‘Edit’, double click on the command you want to change. (The same screen as shown below when Adding will be displayed)

- Enter the Switch Command Information you want to change or add. Select Save & Exit or Exit without Saving.

– SMS Information Displayed on Toll Information Screen
You
now have the ability to view SMS Information from Toll Inquiry. In Inquiry, select the ‘Toll Inquiry’
button. On the top right of the ‘Toll
Information’ screen select ‘SMS Messages’.
The following screen will be displayed.

You can select to view the History File or Unbilled File

You can select to view 1 to 24 months past.

Click on the Grid Heading to sort by Date, Time, Direction, Batch,
From Phone or To Phone.

Click on Excel Spreadsheet to load the information into Excel.

We
have a new option on the Riata Program Menu called ‘SMS Review’. This option will give you the ability to view
SMS Records. Contact your Security
Personnel to get Authorization to this Feature.

If
you wish to view another file, enter the SMS File name and click on ‘Refresh’
to load the SMS file.

If
you have the "LOCKNOTES" User Edit setup, we now allow the user to
Change the Notes they have added until the Service Order is Updated and
Approved Yes or No.

Access Minutes for a Number
You
now have the ability to view Access Minutes from Toll Inquiry. Remember, Access Minutes are all calls for a
number, not just Toll Billed calls. In
Inquiry, select the ‘Toll Inquiry’ button.
On the top right of the ‘Toll Information’ screen select ‘Access
Minutes’. The following screen will be
displayed.

The system will default to Unbilled Information.
-
To view History Information; Select History, Enter a Year
& Month, select Our Switch or Other Switch, then click on Load.

Options to Print and Download to Excel are available at the
bottom of the screen.
If you select Filter Calls – The
following window will be pop-up over the screen as shown below;

Enter Filter information and Select Apply Filer.

– Query Switch Option Available in Riata Inquiry
You
can now Query Switch Information from Riata Inquiry. On the first Inquiry Screen, enter the entire
10 digit Number then click on the ‘Query Switch’ button located to the
right of the number.

– Clear Toll Files
You
now have the option to Clear Toll Files that have already been uploaded to the
AS/400. From the ‘Riata Programs Menu’
select “Files to Process for Toll”.
Use this if you are 100% sure that the Toll has been read in and Not
posted and you want to clear it out and start over.
Reminders:
You have the “Edit/Print File” Button that you can use
to Delete individual files if you have clicked “Process these files”
button and then realize you had the wrong options selected for 1, 2, 3 on the
left side of the screen for type of file you are processing.
You have the “Remove From List” button that you can use
to Delete individual files that have been loaded into the list but you have not
yet clicked the “Process these files” button.
As
you can tell we have added many options for you to clear out your toll and
start over from the start. Please use
caution and make sure you really want to clear out the files and start over.

Click on
the ‘Clear Files’ Button
A drop
down box will be displayed; Click on the option you want to clear.

Once
you have selected which Toll Menu to Clear, the following WARNING will be
displayed.

- Click Yes to Clear the
File
- If you select No or
Cancel you will be returned to the Toll File Processing Selection Screen and
nothing was cleared.
When the file is successfully cleared the
following message will be displayed.

Error:
If the system is unable to find the file,
the following message will be displayed.

- Click on OK and you will be returned to the Toll File Processing Selection Screen and nothing was cleared.

– ‘Sell Nothing’ Button Added to Service Order Entry
We
have added a ‘Sell Nothing’ button to the Inventory Sales Item Detail
Screen in Service Order Entry.

Once you select this button, nothing will be sold and both the
Detail Screen and the Inventory Sales Invoice screen will be Closed and you
will Continue on with the Service Order.

– Payroll History Columns Selection
We
have added a button called ‘Predetermined Columns’ option in Payroll – Employee
History option. We have also created a
new User Edit called ‘Payroll
Print-History’. This User Edit allows the
you to change the Column Display & Order when the Predetermined
Columns
button in Employee History is selected.
From the Riata Programs Menu, select ‘Payroll Time Entry’, then click on the ‘History’ button located at the bottom right of the Payroll Screen, then Select the employee and enter date range you wish to review – click on the ‘Select’ button.
The following Screen will be displayed:

- Click on ‘Show Predetermined Columns’ and the following screen will be displayed showing only the columns you select in the User Edit (PAYROLL PRINT-HISTORY) and the order you entered them in.

- If you would like to change the Order of the Columns click on ‘Column Order’ and the following window will be displayed.

- You can change the order of the column in this screen then click on Update.
- NOTE: This will automatically Setup User Edit (PAYROLL PRINT-HISTORY). and you will be returned to the Employee History Predetermined Columns Screen displaying the order you selected.
User
Edit Details:
Field 1 = PAYROLL
Field 2 = PRINT-HISTORY
Field 3 through 5 = Enter the 2 digit
column number separated with a period. (00.xx.xx.xx.xx)
**Column #00 = Employee must be entered
first in Field #3 – If Not entered, once the User Edit is Updated, Column #00
will be displayed in the first position.
Field 6 through 8 = Leave Blank

For example if you only want to see the Employee
Number, Date, Regular Hours, G/L#, Budget Code and Notes; you would setup the
User Edit as shown here.
Note: Remember – Employee is Column #00, and needs
to be entered first.

You
now have the ability to check if there is any Un-Posted Cash Receipts for a
given Account. This option can be
accessed from the Balance Tab in Riata Inquiry - Customer Account
Information screen or within the ‘Show Posted Cash Receipts’ button, by
clicking the ‘Show Un-Posted Cash Receipts’ button.

– Auto Disconnect Toll Restrict/Suspend
Updated After Cash Receipts are Reviewed & Updated
We no longer
allow the cash receipts program to directly
change the "Toll Restrict"/"Suspend" status of a phone number
in the Auto-Disconnect program. Cash
Receipts will still indicate such a status change is desired, however the
change will not be made until the Cash Receipts are marked ‘Reviewed’
and Updated.
When a Cash
Receipt is taken on a Account that is in the Disconnect file and has been ‘Toll
Restrict, Suspend or Disconnected’, the following screen is displayed.

-
If
the CSR checks the ‘Send Toll Un-Restrict, Send Un-Suspend or Send
Un-Disconnect’ then Updates, this will no longer update the Auto Disconnect
program. Instead it will show as a
desired change and will need to be confirmed when Cash Receipts are Reviewed.
When Reviewing
Cash Receipts Changes, the following screen is displayed.

The User will Check the ‘Reviewed’
box if the Desired Change is Approved or the ‘Don’t do’ box if the Desired
Change is Not Approved.
In this example:
The 1st Account shown
has been marked ‘Reviewed’, therefore a ‘Toll Un-Restrict’ change will be made
to the Auto Disconnect Program once Update is selected.
The 2nd Account has
been marked ‘Don’t do’; therefore even though the CSR said to ‘Un-Toll
Restrict’ no changes will be made to the Auto Disconnect Program.

– Inventory Detail History – Last
Updated YY/MM/DD
We have changed
the "Last Updated" date on the Inventory Detail History screen to an
YY/MM/DD format so it will be easier to sort the column by date.

Tariff Detail Displayed in Riata Inquiry / Non-Recurring Charges
We have added
‘Description, ‘Service Order’ and ‘Updated By’ for each Charge to the
Non-Recurring Charges Screen in Riata Inquiry.

We have also added a checkbox "Omit Zero Cost Items". When this box is checked Charges with a $0.00
Unit Cost will not be displayed.

– Move the Balance Amount/Account Only
Non-Recurring Charges
We have added a way
to let the user move the Balance Amount on an Account only Non-Recurring
Charges, and the Current Cash Receipts to a different Account.
From
Service Order Entry, Customer Account Information Screen, Balance tab:

Click on ‘Move Balance’ button.

Contact your Security Personnel, for authority to this option.
(Details on Page 11& 12 of Security Manual)

Select ‘Move Balance’, ‘Move Only Account Non-Recurring’, and
‘Move Cash Receipts’. (Check as many as
apply)

NOTE: ‘This move may not take affect until the Balance is
Recalculated’.

Click on Move Information to complete the task or
‘Exit’ to cancel and nothing will be moved.
The following message will be displayed to confirm and double
check the balance you are moving and the Account that you are moving it to.

– Automatically Display Note Program
when a Note is Required
We
now automatically display the note program on the Phone Number Information and
Customer Information screens in Service Order entry if a note is required to
update the Service order and has not been entered.
To require a Note by Service Order Type,
from Start1 Menu: Select # 1 (Customer Information), then select #19 (Riata),
then select #20 (Maintenance Items) then select #14 (Common Defaults) – Page #4

Enter
‘Y’ (Yes) – Notes/Desc Required.
To require a Note by Service Order Type,
from Start1 Menu: Select # 1 (Customer Information), then select #19 (Riata),
then select #20 (Maintenance Items) then select #4 (Service Order Type 2 Codes)
Enter
‘Y’ (Yes) – Is Note Required.

If both Notes fields shown above
indicate ‘Y’ (Yes) a Note is required. When a Service Order is entered for the
Type Code that has a ‘Y’ (Yes) for Note is Required, the Note window will
appear and a Note must be entered before the Service Order can be completed.

– Riata Sign-On ‘User Name Blank’
Setup the
following new User Edit if you want the Riata Sign-On/Password window to Not
display User Name that last signed on at this PC.
If this User Edit
is setup, when signing on to Riata, the Password window will not default a User
Name.

We
have added a new checkbox to ‘Inquiry - Recurring Charges’ Screen called "Omit
Zero Cost Items". If this box
is checked, $0.00 Total Cost’s will Not be Displayed.

Project #2515 –Selected Tariff Codes to Pro-Rate to their
Full Cost
We
have added a new User Edit called PRORATE-FULL.
The User Edit will allow you to enter Tariff Codes which will always be
pro-rated to their Full Cost, no matter how many days you are pro-rating for.
In
the Tariff Master, there must be a ‘Y’ (Yes) in the Pro-Rate Field.

To
Set-Up User Edit:
Field 1 = PRORATE-FULL
Field 2 = Leave Blank
Field 3 through 8 = Tariff Code followed by a decimal (xxxxx.xxxxx.xxxxx.)
** Remember to key leading spaces if the tariff code if not 5 long.

In
this example, Tariff Codes QM800 & QUMTM would be pro-rated to their Full
Cost regardless of the number of days in the Pro-Rate Recurring Charges Screen;
however Tariff Code QVMEN is Pro-rated for 16 days as shown.
Project #2128 – Cash Receipts / Save PDF Documents to a
Path Based on Location
We now allow you
to save your Cash Receipts PDF documents to a path based on location.
First you must have
the "S2PCINFO" user edit setup.
This User Edit identifies the PC location information.
For this application; only Fields 1, 2 and 7 are needed.
Setup User Edit;
Field 1 = S2PCINFO
Field 2 = Enter the PC Name (Example: Burley01)
Field 3 = Enter the Location Name for the next
Service Order
(Example: Burley)
Field 4 = Enter the NPA & NXX (Example: 208678)
Field 5 = Enter the Service Type (Example: Wireless)
Field 6 = Enter the Code for the Next Account # (Example: Syringa)
Field 7 = Enter the Actual Location (Example: Burley)
Field 8 = Leave Blank
Second you setup the new User Edit ‘CASHRECEIPT-PDFSAVE’. This User Edit allows you to Save your Cash
Receipts PDF documents to a Path based on Location. This will be used if you have different
locations that use Riata Cash Receipts and want to save the PDF documents in a
different folder for each location.
Setup User Edit;
Field 1 = CASHRECEIPT-PDFSAVE
Field 2 = Enter Location (Same as Field #7 in S2PCINFO User
Edit)
Field 3-8 = The Path to Save the PDF (Example: N:\CashReceipts)
NOTE: User Edit ‘CASHRECEIPT PDFSAVEPATH’ will continue to be used if
there is not a ‘CASHRECEIPT-PDFSAVE’ User Edit for a Location.

‘Billing in Progress’ Button
We
have added a ‘Billing in Progress’ Button to Riata Inquiry. This will allow you to view Statement Details
on an Account. After Step #6 is done in
Billing you can now view the Statement Information even before Billing is
completed and before you Print the Statement.

Riata Inquiry – Customer Account Information – Show Statement Button –

Billing in Progress
Once this option is checked then you
select ‘Show Statement Detail’ – all Statement Detail will be displayed,
even if the Statement has not been printed yet or the Update done (#8).
The
following screen will display all the Statement Detail.

You have the ability to scroll up & down through this
screen to view all the detail. (We took away the Previous &
Next options – the entire bill is now displayed).

You have the ability to Send this Detail to Excel

You have the ability to Print the detail from this screen.

Billing

Button is also on the Statement-Detail Screen.

Note: If Billing in Progress is Checked, How Many Months Ago is
Ignored.

Click on Reload to view the Month already Displayed.
Project #1623 – Clean Local & Shared Riatabill Folder
You now have the
ability to Clean your Local and Shared Riatabill Folder. This will allow you to
remove the programs that are in the Riatabill folder and copy the Riata
programs from the shared folder to the local computer. After this has ran there
will be 3 Files left on the local computer. They are: Enumerator.dll,
miscctls.ocx, and verinfo.dll.
To
run, this click "Setup" from Riata Menu then select "Copy From
Shared Drive to Local Drive" program, then select the C:\Ritatabil (Local)
or N:\Riatabil (Shared) – the Shared Drive number will depend on what number
you have identified as your Shared Drive.
Then click on the "Clean Up" button.

The
following message will be displayed.

Select
‘Yes’ to continue and Clean the Files in the Drive you select previously.
Select
‘No’ to cancel and return to the ‘Copy from’ Screen.
When selecting ‘Yes’, the system will clean the files and when
it has completed this task the following message will be displayed.
Select
OK – then you will be returned to the ‘Copy from’ Screen – then Select to ‘Copy
All Programs’ before running Riata.

–911 Change Note Type Changed to ‘911CG’
The following
Only happens if you tell the system to change 911 Location each Night when
JHDAILY is run and we process the 911 changes.
We generate a Note that was type CSR and will now be Note Type
‘911CG’.
**
Here is a Reminder of how to Remove History Records; From Start1 Menu, select
option #23 (System Maintenance) then
option #11 (Remove History
Records). We have added steps to this
process so you will be allowed to delete the BGEO 911 Change Notes.
During
this process the following message will be displayed.
Select ‘Y’ (Yes) to Delete the BGE0911 Notes or ‘N’ (No) to
leave the Notes.
If
‘Yes’ is selected to Delete the BGE0911 Notes and Yes to Continue on and
Process, the following screen will be displayed.

Enter the Note Type to Delete
-
Enter the To Date
(This
will delete all notes with the type entered up and to the date entered).
F11 –
Displays the Note Types to Select From.
You may have to Add Note Type ‘911CG’ – select option 9 to add.

F5 to Continue or F3 to Return to the Menu without deleting any Notes.

have created a new Invoice History list by Special Code. From Start1 Menu, select option #5 (Accounts Payable), then option #23 (More Print Options), then option #3 (Print Invoice Hist by Special Code)
– Enter File Name – Select the Special Code 1 through 4.

The Special Code is pulled
from the ‘Show Detail’ Screen in A/P Invoice Entry. Special Code 1, 2 and 3 are five characters
and Special Code 4 is twenty characters.

– Discounts for Business/Employee/Associations with Minimum Number of Cellular
Phones
You can now give a Business,
Employee’s within a Business or a Member of an Association (Cellular Clients
Only) a discount if they have a minimum number of People/Employees signed up
for cellular service. The discount could be in return for them providing access
to Employees/Members that you can contact.
User Edits will be used to
determine the minimum number of Phones Required, the Discount Percentage and a
Tariff Code to be used. Please
contact CTI for further information and step by step instructions to setup this
new feature.

When
creating your Own Customer File/Report, after selecting the option to Create a
Temporary Account File, you will now have the option to Drop Account Types with
Permanent Disconnect, Temporary Disconnect or both.

(Goto List & Reports Menu), then option #22 (Create own Customer File/Report). With-in this process we have added the

Changed

Extended G/L we will protect the G/L Extension so they can not be keyed it in.

– 2 Duplicate Check Programs
We created a Duplicate Check
Program for Text Messages (SMS) and a Cellular check against what was billed
last month.
Text Messaging (SMS) Duplicate Checks – We have made two SMS duplicate checks.
These
two checks can be run from the PCS menu.
From Start1 Menu, select option #23 (System Maintenance), then option #24 (Goto Wireless Menu).
– Option # 17 (Check Duplicate SMS This Month) - Checks current unbilled file for duplicates
– Option #18 (Check Duplicate SMS Prev Month) - Compares current unbilled file to what was billed last month.
o When Selecting Option #18 – You will be asked for the File Names
§ When asked for Current Month File – Enter TSCSM
§ When asked for Previous Months File – Enter TBSCSML
They
are also run automatically when processing SMS files.
Note: These WILL NOT work and are NOT run if you are using Telespire for your Cellular data. It will not work for them because they don’t send the ‘Seconds’ as part of the time field. A person could have several messages within a minutes time frame and we wouldn’t want to delete them. If you are a client that uses them, check with them to see if they can include the seconds.
Cellular Duplicate Checks – Cellular
Duplicate Checks against what was Billed Last Month. We now save the Cellular
File at month end so a check can be run during the current month to see if any
calls were also billed last month.
From Start1 Menu, select option #2 (Toll), then option #23 (Goto Toll Menu #2), then option #2 (Check Duplicates Calls Prev MTH)
When asked for Current Month File – Enter TCELL

report.

only Vendors Paid pulled for All History or Date Range.
To Create Label File:

We have changed the Quantity
description to ‘Paid for Quantity’ and added ‘On Hand Quantity’ when running Year
End Physical Inventory. We realize when
counting Physical Inventory, it’s hard to know what is paid for and what is not
paid for. This feature gives you the
ability to see this information. From Start1 Menu, select option #7 (Inventory), then select #24 (More Inventory Options), then
select #6 (Year End Physical).
The
Screen now shows ‘Paid for Quantity’ and ‘On Hand Quantity’ as shown below.

Inventory
Special Detail & Inventory Master List will also show ‘Paid for Quantity’
and ‘On Hand Quantity’.

can now Copy old year Budget Files to a New Year Budget File. You will be asked to enter the Old year on
the WorkStation status screen then enter the 2 digit New Year to Copy to. The From Year, To Year and Company that you
Entered will then be displayed for verification before the files are copied.
This copies only the Budget Entries that have Entry Codes for Riata
Payroll. ** If you use Riata Payroll this must be done,
even if you do not use Budget Files.

setup this feature and identify what Tariff Codes to Exclude from the Toll
Maximum Report.

– Discounts on Recurring Charges
We have created a way to give
Discounts on Recurring Charges. This
could be used to give Employees a Discount without setting up 2 sets of Tariff
Codes with different amounts. The
discount is figured during Step 6 of Month End Billing. The original Recurring Charges will show
their normal charge and a Non-Recurring record is generated for the Discount
Amount.
First
you will need to decide the amount of the discounts. A new Tariff Code would need to be set up for
each discount that you want to use. This
Tariff Code would be added to Recurring Charges for each phone number that gets
the discount. The Discount Amount is
part of a new User Edit ‘RECURRING-CHARGE-%’.
There
are two different methods that can
be used with this User Edit:
- 1. Use ALL to indicate the Discount to be applied to All Tariff Codes EXCEPT the Tariff Codes entered in Fields 4 through 8.
- 2. Use SELECT to indicate the Discount to be applied to Only the Tariff Codes entered in Fields 4 through 8
Setup
User Edit:
Field 1 = RECURRING-CHARGE-%
Field 2 = Tariff Code that was setup for each Discount Amount Example: XXXXX
This
will be used to look at Recurring Charges to see which Customers Qualify for the
Discount.
Field 3 = Discount Percent.Method.Tariff Code for Billing Example: 015.ALL .ZBL15 or 005.SELECT.
The
Discount Percent – Enter a 3 digit
percent followed by a decimal.
(Example; 100 = 100% and 005 = 5%)
The
Method would be ‘ALL ’ or ‘SELECT’. (If ALL is used, key 3 spaces after so it is
6 characters followed by a decimal.
The
Tariff Code for Billing can be a Tariff you set up or can be left blank
and the Tariff Code entered in Field #2 will be used. ** Remember to key leading spaces if the
tariff code is not 5 long.
Field 4 through 8 = Tariff Codes to Include or Exclude based on the Method Used. Example: ABCDE.12345. 987.
Enter
the 5 character Tariff Code followed by a decimal. If you need room for more tariff codes, set
up an additional user edit with fields 1-3 the same. **Remember to key leading
blanks if the tariff code is less than 5 long.
Examples:

For a 15% Discount to ALL Recurring Charges EXCEPT for Tariff Codes ABCDE and 12345 and using Tariff XYZAB for output on the bill.

Since there is not an output Tariff Code entered in Field #3,
the Tariff ‘SPR01’ from Field #2 will be used.

the plan setup.
These
